- secure file-upload services;
- the TaxFit client portal;

3. How we collect information
Information you provide
We collect information when you:
- request a consultation;
- submit a contact form;
- send us a file;
- become or apply to become a client;
- complete an organizer, checklist, questionnaire, or tax form;
- upload documents to our portal;
- sign a document electronically;
- communicate with TaxFit;
- pay an invoice;
- subscribe to updates; or
- apply for employment.
Information provided by other people
Clients may provide information about employees, shareholders, family members, dependants, business partners, customers, suppliers, or other individuals. When you provide another person’s information, you confirm that you are authorized to provide it for the relevant purpose.
Information from third parties
Where permitted, we may obtain information from:
- the Canada Revenue Agency and other government authorities;
- prior accountants, bookkeepers, lawyers, or advisors;
- financial institutions and payroll providers;
- corporate and public registries;
- identity-verification providers;
- employers and benefit providers;
- authorized representatives; and
- accounting, tax, and financial software platforms.
Website and portal information
Our website, portal, and service providers may automatically collect limited technical information, including:
- IP address;
- browser and device type;
- operating system;
- pages visited;
- referring website;
- time and duration of visits;
- portal login and security events; and
- cookie and analytics information.
4. Why we use personal information

- respond to inquiries and consultation requests;
- determine whether TaxFit can accept an engagement;
- complete identity, conflict, independence, and client-acceptance procedures;
- prepare proposals and engagement letters;

- communicate with clients and authorized representatives;
- operate our portal and secure file-transfer services;

- secure file transfer;

- accounting and tax software;
- bookkeeping platforms;
- electronic signatures;
- email and communications;
- payment processing;
- customer relationship management;
- data backup;
- analytics;
- IT support; and

Business changes
Information may be transferred as part of a proposed or completed merger, sale, financing, succession, restructuring, or transfer of TaxFit’s business, subject to appropriate confidentiality and legal safeguards.
7. Processing outside British Columbia
Some service providers may store or process information outside British Columbia or outside Canada. Information processed in another jurisdiction may be subject to the laws of that jurisdiction and may be accessible to courts, regulators, law-enforcement agencies, or government authorities.
TaxFit uses reasonable measures to assess and protect information handled by its service providers. You may contact the Privacy Officer for information about material service providers and processing locations.
8. Professional confidentiality
TaxFit and its personnel are subject to professional confidentiality obligations. Client information is accessed only by people who reasonably require it to:
- provide the agreed services;
- administer an engagement;
- operate and secure our systems;
- meet professional or legal obligations; or
- support TaxFit’s legitimate business operations.
9. Information security
TaxFit uses administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These may include:
- secure portals and file-transfer systems;
- access controls;
- multi-factor or passwordless authentication;
- encryption where appropriate;
- device and network protections;
- secure backups;
- confidentiality requirements;
- staff training;
- vendor assessment;
- security monitoring; and
- incident-response procedures.
No electronic system is completely secure, and TaxFit cannot guarantee absolute security.
Do not send Social Insurance Numbers, identification documents, tax records, banking information, passwords, or other highly sensitive information through a public contact form or ordinary email. Use the secure portal or secure file-upload service provided by TaxFit.
10. Security incidents
If TaxFit becomes aware of unauthorized access, use, disclosure, loss, or destruction of personal information, we will take reasonable steps to:
- contain the incident;
- investigate what occurred;
- assess the potential impact;
- correct identified weaknesses; and
- notify affected individuals or authorities where required or appropriate.
11. Retention and destruction
TaxFit retains information only as long as reasonably necessary for:
- the relevant engagement or purpose;
- legal and tax requirements;
- professional standards;
- regulatory and insurance requirements;
- limitation periods;
- dispute resolution; and
- legitimate business-record purposes.
When information is no longer required, it is securely destroyed, deleted, or anonymized, subject to backup, professional, and legal requirements.
The client portal is not intended to be your permanent document archive. Clients should download and retain copies of important records.
12. Accuracy
TaxFit relies on clients and other individuals to provide accurate and complete information. Please inform us when your contact, ownership, tax, banking, family, or other relevant information changes.
13. Access and correction
Subject to applicable legal exceptions, you may request:
- access to personal information held about you;
- information about how it has been used or disclosed; or
- correction of inaccurate or incomplete information.
Requests must be submitted to the Privacy Officer. We may request information to verify your identity and authority before responding.
14. Marketing communications
TaxFit may send newsletters, tax updates, event invitations, or other commercial communications where permitted. Marketing consent is separate from consent to receive necessary engagement, billing, security, or service communications.
Marketing messages will include an unsubscribe method where required. You may unsubscribe at any time.
15. Recruitment information
When you apply for employment, TaxFit may collect:
- your resume and cover letter;
- contact information;
- education and professional qualifications;
- employment history;
- references;
- interview information; and
- information needed to assess your suitability for employment.
We use this information for recruitment, communication, evaluation, recordkeeping, and legal or professional requirements. Submitting a general resume does not guarantee that TaxFit will retain it for future positions.

Our use of cookies and similar technologies is explained in the Cookie Policy. Where consent is required, non-essential cookies will not be activated until you make a selection through the Cookie Preferences control.
17. Third-party websites
The TaxFit website may contain links to external websites and services. TaxFit does not control and is not responsible for the security, content, availability, or privacy practices of third-party websites.
18. Changes to this policy
TaxFit may update this Privacy Policy when our services, technology, providers, or legal obligations change. The revised policy will be posted with an updated effective date.
